The Challenge

When we began working with the organization in early 2026, its technology environment had become increasingly difficult to manage at scale. A single internal IT resource was supporting hundreds of employees across a growing portfolio of properties and business operations, while the underlying infrastructure had developed organically over time through a mix of disconnected systems, temporary fixes, and inconsistent security practices.

As the organization continued to grow, this fragmented model created operational risk. Core systems lacked standardization, foundational cybersecurity controls were incomplete, backup practices were inconsistent, and there was no unified IT strategy in place to support long-term stability or scalability.

These challenges came to a head through several urgent operational disruptions, including unexpected outages affecting critical business tools such as phone systems and internal servers. The incidents made clear that the organization needed a more structured, proactive, and resilient IT foundation.

Our Solution

We began with a comprehensive assessment of the organization's IT environment, reviewing infrastructure, cybersecurity posture, licensing, systems architecture, backup processes, and day-to-day operational workflows. This discovery phase uncovered several high-priority gaps, including the lack of centralized password management, limited security protections, outdated server operating systems, inconsistent backup practices, and an infrastructure model that had been shaped more by short-term fixes than strategic design.

From there, we prioritized stabilization, risk reduction, and operational control. We implemented foundational cybersecurity measures, including multi-factor authentication, endpoint protection, and threat monitoring, while addressing critical infrastructure vulnerabilities and modernizing legacy systems where needed. Backup processes were also standardized to improve consistency, reliability, and data protection across the environment.

At the same time, we streamlined vendor relationships and software licensing, identifying opportunities to reduce waste and improve cost efficiency. These efforts resulted in approximately $18,000 in annual savings, while also reducing complexity across the broader technology ecosystem.

In parallel, we assumed full management of more than 130 endpoints and 115 users, establishing structured monitoring, patching, support, and escalation processes. Our team coordinated across multiple workstreams to execute planned initiatives while also responding quickly to urgent break-fix needs, helping the organization regain control of its IT operations without slowing down the business.

The Outcome

Within a short period of time, we helped move the organization from a reactive, fragmented IT environment to a more stable, secure, and strategically managed foundation.

Through consistent communication, hands-on execution, and a willingness to step in during critical moments, we quickly established trust as the organization's managed IT partner. Initial objectives, including stabilizing core systems, implementing baseline cybersecurity protections, improving visibility, and reducing unnecessary technology spend, were successfully achieved.

During the first three months, we completed 17 strategic initiatives while simultaneously supporting day-to-day operations and addressing urgent infrastructure and security needs. These efforts focused on the highest-impact priorities within a broader technology modernization roadmap, allowing the organization to achieve meaningful progress while building momentum for future phases.

Today, the organization is operating with stronger security controls, improved system reliability, greater visibility, and reduced operational friction. With Phase 1 complete, the focus has shifted toward deeper documentation, continued standardization, and long-term scalability. This work is positioning the IT environment to support the organization's continued growth with confidence.
